Who we are

FencesHOA (“Fences,” “we,” “us”) is a software service for homeowners’ association boards, operated as a sole proprietorship based in Indiana, USA. This policy explains what information we collect through fenceshoa.com and the FencesHOA application, and how we use it.

Information we collect

Account information. When you or your HOA board creates an account, we collect a name and email address, and either a securely hashed password or, if you sign in with Google, the basic profile information Google shares with us (name, email address, and profile picture, if available). We never see or store your Google password, and we don’t access your Gmail or other Google data beyond that basic profile.

HOA directory information. Your board can enter your organization’s name, the addresses of homes in your community, and information about homeowners — name, email, phone number, and mailing address. This information is entered and controlled by your HOA’s board members and administrators, not by us. If you’re a homeowner and have a question about information entered about you, please contact your HOA board directly.

Usage data. Like most web applications, our servers log standard technical information — timestamps, IP addresses, browser type — for security and troubleshooting.

Payment information. If your organization subscribes to a paid FencesHOA plan, your card and billing details are collected and processed directly by our payment processor, Stripe — we don’t receive or store your card number. See “Payment processing” below.

If you choose to connect QuickBooks Online (see below), a limited set of accounting data is shared with us through that connection.

How we use information

We use the information above to operate the service: to authenticate accounts, maintain your HOA’s home and owner directory, communicate with you about your account, keep the service secure, and comply with legal obligations. We do not use your data to train third-party AI models, and we do not sell personal information.

Payment processing

Paid subscriptions are billed through Stripe, Inc. When your organization subscribes, the card and billing details you enter are sent directly to Stripe — we never see or store your full card number. Stripe shares limited information back with us, such as your subscription status and billing history, so we can manage your account. Stripe’s use of your information is governed by its own privacy policy.

QuickBooks Online integration

FencesHOA offers an optional integration with QuickBooks Online for dues billing. If you connect your organization’s QuickBooks Online company, you’ll be asked to sign in and grant access directly through Intuit’s own consent screen. With that permission, FencesHOA can create and read a limited set of accounting records in your QuickBooks company — customers and invoices tied to your homes and owners. We do not store raw payment card numbers; dues payments are collected through QuickBooks’ own hosted payment pages, not by FencesHOA directly. You can disconnect this integration at any time from your FencesHOA account settings or from your Intuit account, and we do not sell or share this data other than as needed to provide the integration you requested.

How we store and protect data

FencesHOA is hosted on Google Cloud infrastructure. Data is encrypted in transit (HTTPS/TLS) and at rest. Passwords are never stored in plain text. Access to production data is limited to what’s needed to operate and support the service.

Data sharing

We don’t sell personal information. We share data only with service providers that help us run FencesHOA (such as our cloud hosting provider and Stripe, for billing), with third-party services you explicitly connect (such as Google or, once you enable it, QuickBooks Online), or when required by law.

Data retention

We retain account and HOA directory data for as long as your organization’s account is active, and for a reasonable period afterward to meet legal and accounting obligations. Consistent with standard HOA recordkeeping practice, records for a home that has changed ownership are retained as historical ownership records rather than deleted.

Your choices

You can review or update your account information from FencesHOA, or contact us to request access, correction, or deletion of your account data. If your information was entered by your HOA as part of its owner directory, please reach out to your HOA board, as they control that data.

Children's privacy

FencesHOA is intended for HOA board members and administrators and is not directed to children. We do not knowingly collect information from children under 13.

Changes to this policy

We may update this policy from time to time. We’ll update the effective date above, and for material changes we’ll make reasonable efforts to notify account holders.
